Objective

Create a flowchart in Canva that walks a student through the decisions involved in writing a formal letter, from identifying the purpose to sending the final version.

Instructions

Flowchart Steps and Decision Points

Map the following process:

Step 1: Identify your purpose What do you need this letter to do? (Apply for something / Make a complaint / Request information / Give information)

Decision 1: Do you know the recipient’s name?

  • Yes → Address them as “Dear Mr./Ms. [Surname]” → Use “Yours sincerely” at the close.
  • No → Use “Dear Sir/Madam” → Use “Yours faithfully” at the close.

Step 2: Gather your information What facts, dates, or supporting details do you need to include?

Step 3: Draft the letter structure Write in this order: sender’s address and date → recipient’s address → subject line → salutation → opening paragraph → body paragraph(s) → closing paragraph → sign-off.

Decision 2: Is the tone formal throughout?

  • Yes → Proceed to proofreading.
  • No → Revise: remove informal language, contractions (“don’t” → “do not”), or casual phrases.

Step 4: Proofread Check for: spelling, grammar, correct name and address, correct date, clear subject line.

Decision 3: Is the letter complete and correct?

  • Yes → Send or submit.
  • No → Return to the relevant step and correct.

Design in Canva

  • Rectangular boxes for process steps.
  • Diamond shapes for decision points.
  • Clearly labeled Yes/No branches.
  • A linear flow from top to bottom.

Required Elements

  • All process steps and at least 3 decision points.
  • “Sincerely vs. faithfully” rule shown as a decision branch.
  • Tone-check decision included.
